Administration Positions

Position Title: Administrative Assistant

Supervisor: Executive Director

Objective: To provide administrative and clerical support to the Executive Director and Program Coordinators as required. To act as ACAS frontline reception and direct clients and visitors to the appropriate services in a manner that is in line with ACAS guidelines and principles.

Time Commitment: 3 hours a week, 6 months commitment

Qualification/Requirements:

  • knowledge of office procedures – phone etiquette, filing, organizational skills, computer skills
  • good communication and social skills
  • client-centered, sensitive, non-judgmental, and ability to work with diverse communities
  • basic knowledge of HIV/AIDS transmission and prevention and willingness to increase knowledge through training and personal study
  • awareness of relevant Asian community resources and services, client needs assessment, and referral skills an asset
  • mature, responsible, and reliable
  • knowledge of an East Asian and/or South-East Asian language an asset

Responsibilities/Duties:

  • greet walk-in clients and visitors; answer telephone calls
  • assess the needs of clients/visitors and callers
  • provide the appropriate service information to clients/visitors and callers
  • direct inquiries to the appropriate external community services or internal services
  • assist in the administrative duties in the office – reception, clerical, and computer
  • organize and file documents and literature, maintain and update resource materials
  • package health promotion materials, condoms and lubes for Outreach program
  • participate in ongoing educational and skills training activities

Training & Placement: Volunteer is required to attend the Volunteer Orientation Training, to complete the Volunteer Core Skills Training, and to attend Program-Specific Training with the Executive Director.

Evaluation: Performance will be reviewed and evaluated by the Executive Director at the end of the 6 months contract.

Protocol: No personal involvement with client(s) at any time during outreach (eg. exchanging phone numbers, engaging in physical or sexual contact). Maintaining confidentiality of client is absolutely essential.

 

Position Title: Internet and Media Researcher and Watchdog

Supervisor: Volunteer Program Coordinator

Objective: ACAS recognizes and opposes all forms of discrimination against gays and lesbians, women, racial minorities, people with HIV/AIDS and people with disabilities.  The Internet and Media Researcher and Watchdog will research the internet and relevant Asian media for articles that either support or opposes the principles and values of ACAS and report back to ACAS for recommendations.

Time Commitment: 3 hours a week, 6 months commitment

Qualification/Requirements:

  • knowledge of an East Asian and/or South-East Asian language is required
  • excellent reading comprehension and writing skills in both English and a relevant Asian language
  • possess sensitivity and ability to work with diverse communities
  • basic knowledge of issues regarding HIV/AIDS, sexual identity, racial and minority identity and willingness to increase knowledge through reading and personal study
  • mature, responsible, and reliable

Responsibilities/Duties:

  • search the internet and Asian language media for relevant  articles
  • download, index, and document the literature for transmission to appropriate ACAS program coordinator
  • organize and file documents and literature, maintain and update resource materials
  • participate in ongoing educational and skills training activities

Training & Placement: Volunteer is required to attend the Volunteer Orientation Training and to complete the Volunteer Core Skills Training.

Evaluation: Performance will be reviewed and evaluated by the Volunteer Program Coordinator at the end of the 6 months contract.

 

Position Title: Asian Language Translator/Interpreter

Supervisor: Volunteer Program Coordinator

Objective: To maintain ACAS mission by providing culturally and linguistically appropriate language services to ACAS target communities.

Time Commitment: 3 hours a week, 6 months commitment

Qualification/Requirements:

  • reading,  spoken, and writing fluency in an East Asian and/or South-East Asian language
  • translation and interpreting skills in English and relevant Asian language
  • possess sensitivity and ability to work with diverse communities
  • basic knowledge of issues regarding HIV/AIDS, sexual identity, racial and minority identity and willingness to increase knowledge through reading and personal study
  • mature, responsible, and reliable
  • knowledge of computer word processing skills

Responsibilities/Duties:

  • to translate documents into relevant Asian language
  • to act as interpreter as required within ACAS or in the community
  • to be a representative of ACAS both within and outside of ACAS and adhere to ACAS principles and guidelines

Training & Placement: Volunteer is required to attend the Volunteer Orientation Training and to complete the Volunteer Core Skills Training.

Evaluation: Performance will be reviewed and evaluated by the Volunteer Program Coordinator at the end of the 6 months contract.

Position Title: Website Design and Maintenance Volunteer

Supervisor: Volunteer Program Coordinator

Objective: To support ACAS web based communications by developing appropriate web based documents and updating and maintenance of ACAS website

Time Commitment: 3 hours a week, 6 months commitment

Qualification/Requirements:

  • web based skills such as HTML, Flash, Dreamweaver, Javascript, PHP an asset
  • creative, reliable, and ability to adhere to deadlines
  • familiarity with Mac OSX platform
  • possess sensitivity and ability to work with diverse communities
  • basic knowledge of issues regarding HIV/AIDS, sexual identity, racial and minority identity and willingness to increase knowledge through reading and personal study

Responsibilities/Duties:

  • design web based documents and layouts for ACAS website and upload to the ACAS website
  • ensure each webpage is compatible with all major browsers
  • review web statistics and report back to the appropriate person/committee
  • perform maintenance of website and update information as needed
  • attend website committee meeting when scheduled

Training & Placement: Volunteer is required to attend the Volunteer Orientation Training and to complete the Volunteer Core Skills Training.

Evaluation: Performance will be reviewed and evaluated by the Volunteer Program Coordinator at the end of the 6 months contract.

Protocol: All usernames, passwords, website directories, website design elements, and any other critical information relating to the website will remain confidential.
